FAQ

Common questions about Kirsten's freight quote comparison system

File Upload & Processing

What file formats does Kirsten support?
Kirsten supports PDF, DOCX, XLSX, and CSV files. PDF is the most common format for freight quotes and works best with our AI extraction.
What's the maximum file size I can upload?
Each file should be under 10MB. For best performance, we recommend keeping files under 5MB. Large files may take longer to process.
How long does processing take?
Processing times vary by file size:
  • Small files (< 1MB): 1-2 minutes
  • Medium files (1-5MB): 2-5 minutes
  • Large files (5-10MB): 5-10 minutes
  • Multiple files: Add 1-2 minutes per additional file
Does Kirsten work with non-English documents?
English text works best for accurate extraction. While the AI can handle some other languages, results may vary with non-English documents. For best results, use English language quotes.

Currency & Pricing

Can I compare quotes in different currencies?
Yes! Kirsten automatically converts all currencies to your chosen currency for fair comparison. Supported currencies include USD, EUR, CNY, SGD, JPY, HKD, INR, IDR, THB, VND, AUD, and many more.
How accurate is the currency conversion?
Kirsten uses real-time exchange rates from reliable APIs. The exchange rates used are shown in the Excel report for transparency. All conversions are done at current market rates.
What if I need to compare quotes in their original currencies?
You can download the Excel report and manually convert back to original currencies using the exchange rates shown in the report. The original currency information is preserved in the extracted data.
What currency codes and symbols does Kirsten support?
Kirsten supports standard ISO currency codes and common symbols:
  • USD ($) - US Dollar
  • EUR (€) - Euro
  • GBP (£) - British Pound
  • JPY (¥) - Japanese Yen
  • SGD (S$) - Singapore Dollar
  • AUD (A$) - Australian Dollar
  • MXN (Mex$) - Mexican Peso
  • INR (₹) - Indian Rupee
  • THB (฿) - Thai Baht
  • HKD (HK$) - Hong Kong Dollar
  • CAD (C$) - Canadian Dollar
  • CLP (CLP$) - Chilean Peso
Important: Use correct ISO currency codes (e.g., MXN not MXP for Mexican Peso) to ensure accurate currency conversion and calculations. The system will attempt to normalize common currency symbols and abbreviations automatically.

AI & Data Extraction

How accurate is the data extraction?
The AI extraction is very accurate for well-formatted documents. However, complex layouts or unclear text may affect accuracy. Always review the extracted data in the Excel report to ensure correctness.
What if the AI extracts wrong data?
If data looks incorrect, try uploading a clearer version of the file. Ensure the document is high-quality and contains complete freight quote information. You can also try converting the file to PDF format for better extraction.
Can I use this for other types of quotes?
Kirsten is specifically designed for freight quotes. Other quote types (like insurance, consulting, etc.) may not extract properly as the AI is trained on freight industry terminology and formats.

Security & Privacy

Is my data secure?
Yes, all data is processed securely with HTTPS encryption. Files are automatically deleted after 24 hours, and no personal data is stored long-term. We use enterprise-grade security measures to protect your information.
How long are my files stored?
Files are automatically deleted after 24 hours. No data is permanently stored. This ensures your privacy while allowing enough time for processing and download.
Can I get the results emailed to me?
Currently, results are only available for immediate download. Email delivery may be added in future versions. Make sure to download your Excel report before closing the browser.

Technical Issues

What should I do if processing fails?
  • Check that files are in supported formats (PDF, DOCX, XLSX, CSV)
  • Ensure files are under 10MB each
  • Try uploading fewer files at once
  • Wait a few minutes and try again
  • Contact support if the problem persists
What if currency calculations seem incorrect?
Common currency issues:
  • Incorrect currency codes: Ensure quotes use correct ISO codes (e.g., MXN not MXP for Mexican Peso)
  • Missing currency symbols: The system recognizes common symbols ($, €, £, ¥, etc.) but prefers ISO codes
  • Exchange rate issues: If external APIs are unavailable, the system uses fallback rates
  • Unsupported currencies: Rare currencies may not convert properly
If calculations seem wrong, check that your quotes use standard currency codes and symbols.
What if I can't download the Excel file?
Try refreshing the page and processing again. Ensure your browser allows downloads and check that you have sufficient storage space. The Excel file is generated fresh each time you process files.
Does Kirsten work on mobile devices?
Yes, Kirsten is mobile-responsive and works on smartphones and tablets. However, for best experience with file uploads and Excel downloads, we recommend using a desktop or laptop computer.

General Questions

How many files can I upload at once?
You need at least 2 freight quote files for comparison. There's no strict upper limit, but we recommend 2-8 files for best performance. Processing time increases with more files.
What's the difference between a request file and quote files?
Request file (optional): Your original proforma invoice or rate request that shows what you asked for. Quote files (required): The actual freight quotes from different providers that you want to compare.

  • Mode of transport (Air, FCL, LCL, Road, Rail)
  • Shipment size and dimensions
